What agencies are asked to show
Clients put insurance and licence conditions in their contracts, and some Australian rules make checking a legal duty. Three examples, each quoted from its source:
- Queensland
- The Labour Hire Licensing Act 2017 says a person “must not, without a reasonable excuse, enter into an arrangement with a provider … for the provision of labour hire services to the person, unless the provider is the holder of a licence”. It is a reasonable excuse that the provider was shown on the register as licensed when the arrangement was made (section 11). Source: Queensland legislation, Labour Hire Licensing Act 2017, s 11, read 27 October 2026.
- Victoria
- The Labour Hire Authority says “hosts must only use licensed providers”, with penalties over $660,000 for a corporation, and its checklist for a new provider says: “Keep a record of these checks for reference.” Source: Labour Hire Authority (Victoria), information for hosts, read 27 October 2026.
- New South Wales
- Recruitment agencies supplying contingent workers to NSW Government agencies through the Contingent Workforce Scheme must meet its insurance requirements: “$5 million for professional indemnity and public liability”, and workers’ compensation “in accordance with applicable legislation”. Source: buy.nsw, Contingent Workforce Scheme (updated 3 June 2022), read 27 October 2026.
Section 11 of the Queensland Act applies to any person, so an agency that sources workers through another labour hire provider is bound by it too.
What an agency can track in Vendarity
- Public liability certificates of currency, with the minimum limit your clients require: a lower limit can’t be accepted without an exception your reviewer records.
- Professional indemnity and workers’ compensation certificates of currency.
- A labour hire licence for each provider you source workers through: its number, expiry and the copy of the register entry you ask for.
- Trade licences, tickets and other certificates a placement needs, each with its own expiry date.
Each contractor or provider gets a private link and uploads without an account. When your workspace turns AI on, AI reads each new document and suggests its details with the place on the page each came from; your reviewer confirms or corrects them and decides. Every acceptance records who made it, when, and the exact file they saw, so you can show a client what was on file on any date.
Renewals before a placement is affected
An accepted certificate keeps a requirement current until its expiry or review date. Once an Owner or Admin turns on automatic reminders, the standard schedule asks for each renewal 30, 14, 7 and 1 days before expiry, and stops while a replacement waits for review.
What Vendarity does not do
- Check a licence register or confirm cover with an insurer. Your reviewer checks what each document shows.
- Decide whether someone is a contractor or an employee, or what cover the law requires of you.
- Pay contractors or manage timesheets and placements.
