Let AI suggest a document's details (optional)

For buyersWho can do this: Owner or Admin turns it on or off; Owner, Admin or Reviewer asks for a document that wasn't readUpdated

In short

AI can read each new document for your reviewer and suggest its details, such as the insurer, the policy number and the expiry date, each with the page it came from. It is optional: workspace setup offers it, ticked, and an Owner or Admin can turn it on or off in Settings, Organization. While it is on, each document is read as it arrives, within your AI pages. Nothing is accepted automatically: a person checks every value and records the decision.

Suggestions save typing and point you to where a detail appears in the document. They sit inside review: you still compare each value with the original and decide.

How do I turn AI suggestions on?

When you set up a workspace, Let AI read each document and suggest its details (recommended) is ticked. Leave it ticked to turn AI on from the start, or untick it to keep AI off. You can change this later in Settings:

  1. Open the AI settings

Go to Settings, then Organization, and find AI-assisted review.

  2. Read the disclosure

It explains that, when a document passes its security scan, its page previews and embedded text go to Google’s paid Gemini service, and that processing may take place overseas.

  3. Confirm and enable

Tick the box confirming you are authorized and have read the disclosure, then choose Enable AI suggestions. You may be asked to sign in again first.

To turn it off, choose Disable AI suggestions. Documents not yet sent are cancelled; ones already sent may still finish.

Note: If AI was turned on when it read a document only when a reviewer asked, it is off until an Owner or Admin reads the updated description and turns it on again. Settings says so.

When does AI read a document?

While AI is on, each new document is read as soon as it passes its security scan, whoever uploaded it. By the time you open it for review, Document suggestions usually shows the details, and you can choose Check for suggestions to refresh while they are prepared.

AI doesn't read a document when AI is off, in the sample workspace, or when the AI pages left are fewer than the document needs. That document simply waits for review by hand.

Can I ask for suggestions on a document that wasn't read?

Yes, for a document waiting for review, such as one that arrived before AI was on. Open Document suggestions on the review page. The button says how many AI pages it will use, for example “Suggest fields · 3 pages”. Choose it, keep reviewing by hand if you like, and choose Check for suggestions to refresh. Only a Reviewer, Admin or Owner can ask.

What do suggestions show?

  • Each suggested value appears beside the one entered with the document under Document details, marked AI suggestion.
  • Its source: embedded text with the page and line numbers, or an image reading with the page number, marked as not independently verified.
  • Not found when the document doesn’t show the detail, and Unresolved · ambiguous source when it could be read two ways, such as a date like 03/04.

What AI suggestions never do

  • Accept or reject a document. A person confirms each value and records the decision.
  • Change a recorded decision. A result that arrives after the review, or after the file changed, is set aside.
  • Verify the issuer. Vendarity does not check that a certificate is genuine.
  • Search the web or use other tools.
  • Run in the sample workspace. Sample documents are never sent to AI.

How many pages can we use?

AI pages are the document pages AI reads. Each plan includes a number of them, with no overage charge: 100 for the whole trial, and a monthly allowance on paid plans. When they run out, new documents aren't read and review by hand continues; Owners and Admins get a notice. A file identical to one already read reuses its suggestions without using pages; a reviewer sees this as Reuse suggestions · no AI pages.

If a read fails or its result is uncertain, carry on by hand. Its pages still count, because the file may have been processed, and it isn't sent again.

Note: Batch review leaves documents with AI suggestions for individual review, so each suggested value gets a person’s check.

Common questions

Is my document used to train AI models?
Suggestions use Google’s paid Gemini service, whose terms exclude this content from model improvement. Google may still keep it for a limited time for safety checks, as its terms describe.
Who can ask for suggestions?
Nobody needs to while AI is on: each new document is read as it arrives. For a document that wasn't read, a Reviewer, Admin or Owner can ask, once AI is on.
What happens if AI can’t read a document?
The panel says so and you review the document by hand. The document isn't sent again.
