Track findings and follow-up tasks
In short
A finding records a problem with a supplier's document; a task records work someone must do, such as calling a supplier about an expired certificate. Add either from a supplier's Tasks tab, or from a document's review page, with a requirement, owner, severity and due date. A Reviewer, Admin or Owner can make a finding block acceptance until it is resolved. The Tasks page lists everyone's open work, due date first. Both stay internal to your team.
Findings and tasks keep follow-up work attached to the requirement it concerns, with a named owner and a due date. Every change keeps who made it, when and why. Suppliers do not see them: each panel is marked Internal · only your team sees this.
How do I add a finding or task?
Open the requirement's supplier
On the supplier's page, choose the Tasks tab, or open a document's review page and find Findings & tasks.
Start a new item
Choose Add finding or task. Pick the Requirement it concerns and enter a Title, such as Confirm which sites the certificate names.
Classify it
Set Type to Finding for a problem with a document, or Task for work to do. Choose a Severity: Low, Medium, High or Critical.
Assign it
Choose the Task owner, who must be an Owner, Admin, Manager or Reviewer, and a Due date. Add a comment if it helps.
Decide whether it blocks acceptance
For a finding, a Reviewer, Admin or Owner can tick Stop acceptance until resolved. A reviewer must then resolve the finding before accepting a new document for that requirement.
Create it
Choose Create finding or task. It appears on the supplier's Tasks tab and on the Tasks page.
How do I find my work?
Choose Tasks in the sidebar. Use Assigned to me or Everyone's tasks, then filter by Open tasks or Resolved tasks, and by Blocking findings. Choose Apply. Work is listed due date first, with overdue items marked, and each row opens the item.
How do I resolve a finding or task?
Open the item
Choose Edit on the finding or task.
Record the outcome
Set Status to Resolved and write the Resolution evidence or reason, of at least 8 characters, with references to the document where relevant. Add a Change comment explaining what changed.
Save
Choose Save task changes. Earlier versions stay under Change history.
Some items need another decision first. A task about a supplier's report of a changed document closes only after the report is matched to the document or dismissed with a reason, and a task about a supplier's reply closes after your team records the next action.
Which tasks does Vendarity open for me?
Vendarity opens some tasks itself and gives them to the requirement's owner, for example:
- Follow up an overdue document when a requirement is past its response due date, still isn't current and has no exception.
- Follow up an unanswered request when a supplier hasn't replied within the days your reminder schedule allows.
- Confirm a permitted supplier contact when no contact can receive email reminders.
- Review an expired exception when a temporary exception has ended.
- A task when a supplier contact replies without a new file or pauses request emails.
Common questions
- Can suppliers see findings and tasks?
- No. Findings and tasks are internal to your team. To tell a supplier what is wrong with a document, request changes on it or share a message on the supplier's Messages tab. An Owner or Admin can have Vendarity email a change request to the supplier, and an Owner, Admin or Manager a shared message.
- What is the difference between a finding and a task?
- A finding records a problem with a document, and only a finding can block acceptance. A task records work to be done, such as calling a supplier.
- Why can't I edit a blocking finding?
- Changing or resolving a blocking finding needs review permission, held by Reviewers, Admins and Owners. Managers can edit other findings and tasks.
