Ask a question about your workspace in plain English
In short
To find records without building a filter, open Documents and choose Ask a question, then type what you are looking for, such as “packaging suppliers with expiring evidence”. Vendarity turns the question into an ordinary filter over suppliers, documents or coverage, shows the filter it used and lists the matching records. It needs AI-assisted review switched on, uses one unit of the AI allowance for each new question, and never sends your records to AI.

Type your question
In Your question, describe what you want in plain English, in 3 to 300 characters, then choose Ask.
Check the filter and the records
Under Answer, Filter used shows exactly how Vendarity read your question, and the list below it shows the matching records. Open a record to work with it as usual.
What can a question do?
A question can find suppliers, documents or requirement coverage, using the same filters as those pages: for example by category, status, expiry window or supplier. It can't change, send or approve anything. A question that asks for an action is declined at once with Not something a question can do. and the reason, before anything is sent to AI, so it uses no allowance. A question outside what the filters can show, or too vague to read, is read by AI like any other and its answer gives the reason instead of records. Nothing is changed either way.
What is sent to AI?
Only the text of your question and today’s date go to Google’s Gemini API. Your workspace’s records stay in Vendarity: the answer is a filter, and Vendarity runs that filter itself in your workspace. See the Privacy Policy.
Does a question use the AI allowance?
Each new question uses one unit of the workspace’s AI allowance, the same allowance as AI-assisted review. Asking a question identical to an earlier one reuses its answer at no cost. When the allowance is used up, nothing is sent and no overage is charged; use search and filters instead.
Your recent questions lists the questions you asked. They are visible only to you.
Common questions
- Why can’t I ask a question?
- Ask a question needs AI-assisted review on for the workspace; while it is off, the page says so, and an Owner or Admin can turn it on in Settings → Organization after reading what is sent to AI. Questions also pause while the workspace is read-only or its AI allowance is used up, and a sample workspace never sends them.
- Can a wrong answer change my records?
- No. The answer is only a filter over existing views, shown to you before the results. Nothing is changed, sent or approved by a question.
