List the wording a certificate must show, such as additional insured
In short
To check that a certificate of insurance shows the wording your contract requires, such as additional insured or a waiver of subrogation, list it on the requirement: choose Add terms to confirm and enter up to eight terms. Suppliers see them before they upload. At review, the reviewer records whether the document shows each one, with a reason for any it doesn't. Vendarity doesn't judge whether an endorsement is valid.
Terms to confirm turn the wording your contract requires into a check a person records at review. For example (fictional): Additional insured: Harbour Group Pty Ltd, or Waiver of subrogation in favour of Harbour Group Pty Ltd. They suit insurance certificates, but any requirement where suppliers send a document can list them, such as the work a certificate must name.
How do I add terms to confirm?
Open the requirement
Choose Requirements in the sidebar, then New requirement, or New version on an existing requirement. Keep Suppliers respond with on A document; a questionnaire has no terms to confirm.
Add the first term
Choose Add terms to confirm, then write the wording in 3 to 160 characters. Leave out web and email addresses: suppliers read each term on their request page.
Add any others
Choose Add a term for each further term, up to eight, each with different wording.
Publish
Choose Publish requirement, or Publish version when you revise one. The terms are saved with that version, so changing them later means publishing a new version.
What does the supplier see?
The supplier's request page lists each term under a line that names your business and says it will check that the document shows them, so the supplier or their insurance broker can send the right certificate or endorsement the first time. When you prepare a request, its review step shows the terms the supplier is shown. In Settings and on the supplier's Requirements tab, your team sees them under Terms to confirm at review.
How are the terms confirmed at review?
When you accept the document, Terms to confirm lists each term. Choose Shown when the document shows it, or Not shown when it does not. A term not shown needs a reason of at least 8 characters in Why this document is still acceptable, for example that the endorsement came as a separate page. Acceptance waits until every term has an answer. Requesting changes does not ask about the terms.
Each answer and reason stays with the decision, in its history, the account export and evidence packs. The supplier never sees the reasons.
When you accept one document for several requirements, wording they share is asked once, and each requirement records its own terms.
Note: A document whose requirement lists terms to confirm is reviewed on its own. Batch review leaves it for individual review.
Common questions
- Does Vendarity check the wording for me?
- No. A person records whether the document shows each term. Neither Vendarity nor its optional AI suggestions mark a term as shown.
- Does a term marked Shown mean the endorsement is valid?
- No. It records what the reviewer saw on the document. It does not confirm that an endorsement is valid, what the policy covers or that the policy is still in force.
- Can I add terms to a questionnaire?
- No. Terms to confirm apply to requirements where suppliers send a document. In a questionnaire, ask about the wording in its questions instead.
