Trial, plans, prices and billing
In short
New workspaces start with a 14-day trial; no card is needed to start. The trial includes 20 suppliers, 3 team members, 1 site, 1 GB of document storage and 100 AI pages. Planned prices are Core at US$129 and Growth at US$249 a month, excluding tax. Owners and Admins see the plan and usage in Settings, Plans & usage, and get an email before the trial ends.
Every new workspace starts with a 14-day trial. You don’t need a card to start, and supplier contacts and auditors never pay to respond.
Note: Paid checkout is not available yet. Until it opens, a trial that ends becomes read-only for 30 days so you can export your records, then it is deleted as the Terms describe.
What does each plan include?
| Allowance | Trial | Core | Growth |
|---|---|---|---|
| Price | Free for the trial | US$129 | US$249 |
| Active suppliers | 20 | 100 | 500 |
| Team members | 3 | 5 | 15 |
| Your sites | 1 | 1 | 5 |
| Document storage | 1 GB | 25 GB | 100 GB |
| AI pages | 100 for the whole trial | 500 a month | 2,000 a month |
Archived suppliers don’t count toward the supplier limit, and supplier contacts and invited auditors don’t count as team members. Your sites are your own offices or plants, not your suppliers’ sites. AI pages are the document pages AI reads to suggest their details, when AI is on.
Where do I see our plan and usage?
Open Plans & usage
Choose Settings, then Plans & usage. Only Owners and Admins see plans and usage there; other roles see that billing is restricted.
Check your plan
The top of the page shows your plan and its state, such as No-card trial, and when the trial ends.
Check usage
Workspace usage shows suppliers, team members, sites and storage against your limits; Monthly allowances shows AI pages.
Compare plans
Compare plans lists Core and Growth. Open the fit check under each plan to see whether your current suppliers, team members, sites and storage would fit. The check changes nothing.
There are no automatic overage charges or top-ups. Owners and Admins are notified at 80% and 100% of an allowance, and reaching a limit never removes accepted documents.
What happens when the trial ends?
While paid checkout is closed, the workspace becomes read-only when the trial ends. For 30 days your team can still read and export records, while supplier requests, uploads and reminders stop. The workspace is then permanently deleted, unless it is on hold for legal reasons. To keep a copy, see Export your data.
- Up to 7 days before a trial with no payment method ends, Vendarity emails the workspace’s Owners and Admins. The email gives the end date, says the workspace then becomes read-only for 30 days and is then deleted, and says how to export everything from Data & closure.
- When the trial has ended, a second email says the workspace is now read-only because the trial ended, and gives the deletion date.
- Account emails give dates and times in your workspace’s timezone.
How will paying for a plan work?
An Owner or Admin chooses a plan and adds a payment method on Stripe’s own checkout page; Vendarity never collects card details. Every workspace pays in US dollars, and Stripe shows the tax and the total before you pay. A plan becomes active only after Stripe confirms the payment.
The payment method is needed before your workspace sends its first real supplier request, and nothing is charged then. Your plan starts when the trial ends, but never sooner than 7 days after you add the payment method, so your suppliers have at least a week to answer before you pay. Vendarity emails Owners and Admins 7 and 3 days before the first charge, and cancelling before then costs nothing.
What happens if a payment fails?
Stripe retries a payment that fails. Vendarity emails the workspace’s Owners and Admins that day with a link to pay, and the app shows a banner. Full access continues for 3 days. If the payment is still unpaid then, the workspace becomes read-only until it is paid: supplier requests, reminders, uploads, reviews, AI and SMS stop, while your team can still view everything and Owners and Admins can export and pay. Paying restores everything at once. Suppliers are told only that you can’t receive documents at the moment, never why.
- To pay, an Owner or Admin opens Settings, then Plans & usage, and chooses Pay now, then Update payment method. Stripe’s page lets you replace the card or confirm the payment with your bank.
- If it stays unpaid, Stripe stops retrying and cancels the subscription about 14 days after the failed payment. Your team can still view and export, and an Owner or Admin can subscribe again from Plans & usage.
- The workspace is permanently deleted 30 days after the failed payment, unless it is on hold for legal reasons. Vendarity emails Owners and Admins 7 days and 1 day before.
