Open a document request and sign in with a code
In short
Open the link in the request email, enter the email address the request was sent to and choose Send access code. Vendarity emails you a six-digit code that expires in 10 minutes. Enter it and choose Verify and continue to see what the business needs from you. On your own computer you can tick Remember this browser for 30 days and skip the code next time. You need no account or password, and you pay nothing. A forwarded link opens nothing on its own.
A business you work with uses Vendarity to collect documents from its suppliers and contractors, such as certificates of insurance, quality certificates and policies. You don’t need an account, a password or a subscription to respond. Each visit starts with a code sent to your email address, unless you asked Vendarity to remember your browser.
How do I open the request?
Open the link
Choose Open your requests in the request email, or open the whole link the business sent you. The page is headed Open your document request.
Enter your email address
In Your email address, type the address the request was sent to, then choose Send access code.
Enter the code
If the address matches, Vendarity emails you a six-digit code. Type it in Six-digit access code and choose Verify and continue. On your own computer, you can tick Remember this browser for 30 days first.
See what's needed
Your requests page opens with one card for each document requested: what is needed, the site it applies to, if there is one, its response due date and its current status.
Why do I need a code?
The link alone shows nothing. The code proves you can read the inbox the request was sent to, so a forwarded or intercepted link doesn’t reveal the request or your documents.
- A code expires after 10 minutes and works once.
- You can enter a code up to five times.
- You can ask for a new code after a minute, and up to three codes in an hour.
If no code arrives, check your spam folder and the address you typed, then choose Use another email or request a new code. The page never says whether an address matched, so it gives the same answer either way.
Can I skip the code next time?
Yes, on your own computer. When you enter the code, tick Remember this browser for 30 days. For the next 30 days, the links that business sends you for the same supplier open in that browser without a code. A link sent to someone else, a link for another supplier you also answer for, or a link opened in any other browser still asks for a code.
- Don't tick it on a shared or public computer.
- It ends after 30 days, and it isn't extended when you use it.
- To end it sooner, choose Forget this browser at the bottom of your requests page. Clearing your browser's cookies ends it too.
- It also ends if the business removes you as a contact, changes your email address or stops one of your links.
How long does the link work?
Links work for 7 days. Within that time you can open the link again as often as you need, with a new code each time, or without one in a browser you asked Vendarity to remember. To check what the business decided, open the link again. They can have Vendarity email the main contact they hold for your company when they ask for changes or send you a message, but not when they accept a document.
You stay signed in while you use the page. After 30 minutes without activity you are signed out: open the link again and ask for a new code, unless your browser is remembered. On a shared computer, choose Sign out at the bottom of the page when you finish.
What if the link has expired or stopped working?
The page explains what happened and what to do next. The most common messages are:
- This link has expired. Links work for 7 days. Ask the business that sent the request to send a new one.
- This link no longer works. The request or your contact details changed. Ask the business to check your details and send a new request.
- This request is closed. The business has stopped taking new documents from you in Vendarity.
- Sending is paused for now. The business can’t receive new documents at the moment. Keep your files until you have a receipt.
Closing the page never withdraws a document you already sent.
Tip: Questions about the request itself, such as which document is needed or by when, go to the business that sent it, because they own the request. Once signed in, use Ask a question. If you can’t sign in, contact the business directly. For a problem with Vendarity itself, contact support.
Common questions
- Do I need a Vendarity account to respond?
- No. You open the link from the request and confirm a six-digit code sent to your email address. There is no password, and suppliers don’t pay to respond.
- Can I forward the link to a colleague?
- A forwarded link opens nothing on its own, because the code goes only to the address the request was sent to. To involve a colleague, sign in and propose them as a contact; the business confirms their access.
- Why didn’t my code arrive?
- Vendarity sends a code only when the email you enter is the address the request was sent to. Check the address and your spam folder, wait a minute, then ask for a new code; up to three can be sent in an hour.
