See supplier response and review times

For buyersUpdated

In short

The operational report shows how long suppliers take to send documents and how long your team takes to review them, over the last 30, 90 or 365 days. It shows the median supplier response time, the median review turnaround, documents first accepted, and critical requirements that are overdue. Every number opens the records behind it. A measure with no completed records reads Not available, never zero.

Document coverage tells you what is current. The operational report tells you how the work behind it is going, so you can see whether suppliers or reviews are holding things up.

How do I open it?

  1. Open Reports

    Choose Reports in the sidebar.

  2. Open the operational report

    Choose Operational report.

  3. Choose the period

In Reporting period, choose Last 30 days, Last 90 days or Last 365 days, then Refresh report.

What does each measure mean?

The four measures
MeasureWhat it counts
Supplier responseThe median time from the first request email for a requirement to the document the supplier sent, for requests started in the period.
Review turnaroundThe median time from a document arriving to the first Accept or Request changes decision.
Accepted documentsDocuments first accepted for a requirement in the period. One file accepted for two requirements counts twice.
Critical and overdueCritical requirements of active suppliers that are past their response due date without an accepted, in-date document, an exception or a not-required decision, at the report time.

Only documents a supplier sent from their request page count toward the supplier median. When your team uploads the document instead, the request counts as answered by your team and is left out of that median. Drafts never count.

Elapsed time includes nights and weekends. When a measure has no completed records, it reads “Not available”, never zero.

How do I see the records behind a number?

Select a measure, or use the tabs under The records behind the result. Each record shows the supplier, the requirement and the times that were measured, so you can check any number yourself.

How these measurements work on the page gives the full rules, including how unanswered requests and documents without a first decision are shown.

Note: These are workflow measurements, not a legal compliance assessment or an estimate of savings. Delivery facts can arrive later, so refreshing a period may update its results.

Common questions

Why does a measure say Not available?
No completed records fall in the period yet. Try a longer period, or come back after more work has been recorded.
Does the report include archived suppliers?
Yes, for historical work. The critical and overdue count includes only active suppliers.
