See what you had on file on a past date

For buyersWho can do this: Every role can view; Owner, Admin, Manager or Reviewer exportUpdated

In short

Reports shows document coverage now, or as it stood at a past date and time in your workspace’s timezone. Pick the date under As at, keep End of day or choose a specific time, then Apply view. Only documents and decisions recorded by that moment count, so a document uploaded later never fills an earlier gap. Export the view as a CSV file, print it or build an evidence pack.

An auditor, a client or your own team may ask what you had on file on a given day. Reports answers that from the records as they stood at that moment, not from what you know now.

How do I see a past date?

  1. Open Reports

Choose Reports in the sidebar, or open Reports directly.

  2. Choose what to include

Optionally search Supplier or requirement, enter a Requirement site, choose Suppliers (Active suppliers, Archived suppliers or All suppliers) and what to Show.

  3. Choose the date

Under As at, pick a date no later than today. Leave it blank for the current report.

  4. Choose the time

In Time, keep End of day, or choose A specific time and enter the Time of day to the minute.

  5. Apply the view

Choose Apply view. Under Report as of, the page shows the exact date and time the report is taken at, and your workspace timezone.

To go back to today, choose Show the current report.

What does a past date include?

Only documents and decisions recorded by that moment. A late upload never counts as something you had earlier: a certificate uploaded today can’t fill a gap in last month’s report, even if it is dated last month. Exceptions stay separate from accepted documents.

What is in the report?

A summary shows document coverage: the share of requirements that apply with an accepted, in-date document, with exceptions and requirements marked not required shown separately. It counts accepted, in-date documents; it isn’t a legal compliance check. Below it, Requirements by supplier shows each supplier against each requirement. The totals and the CSV include every matching requirement, not only the rows on screen.

Read the report and CSV columns, at the foot of the page, explains each CSV column, including current_until.

How do I share it?

  • Export document coverage (CSV) downloads the view as a CSV file.
  • Printable report opens a print-friendly page. Use your browser’s print dialog to print it or save a PDF.
  • Generate evidence pack builds a fixed package with the original files. See Build an evidence pack.

Exports are available to Owners, Admins, Managers and Reviewers, and may ask you to sign in again. Viewers can read reports but not export them.

Common questions

Which timezone does the report use?
Your workspace’s default timezone, shown beside the As at field and under Report as of. An Owner or Admin can change it in Organization settings.
Can I include archived suppliers?
Yes. Set Suppliers to Archived suppliers or All suppliers, then apply the view.
Why can’t a document uploaded today fix last month’s report?
A report at a past moment uses only what was recorded by then. That keeps the record of what you had on file at that time fixed.
