Accept up to 20 documents together

For buyersWho can do this: Owner, Admin or ReviewerUpdated

In short

To accept several straightforward documents in one pass, choose Review a batch on Review, select up to 20 from the current queue page and choose Start review. Check each one and choose Confirm for batch, or leave it for individual review. Then preview the decisions and accept the confirmed ones together. Each acceptance is recorded for its own document, requirement and site.

Batch review suits straightforward documents whose details already match what the document shows. It only accepts: to request changes, open the document on its own.

How do I review a batch?

  1. Filter the queue first

On Review, apply the filters you want. The batch selection follows them.

  2. Start a batch

Choose Review a batch. Under Choose from this queue page, tick up to 20 documents, then choose Start review.

  3. Check each item

Compare each preview with the displayed details. Choose Confirm for batch when they match, or Leave for individual review. Move with Previous item and Next item.

  4. Preview the decisions

Choose Preview decisions to see what will be recorded and what you left out. Use Back to review to change anything.

  5. Accept the confirmed items

Choose the accept button, which shows how many you confirmed, for example “Accept 6 confirmed”.

  6. Read the results

Batch results marks each item Accepted or Failed with a reason. Open a failed one with Open individual review, then choose Return to queue.

Confirming an item records your intent only. Nothing is accepted until you choose the accept button on the preview step.

Which documents need individual review?

Vendarity leaves these out of a batch and says why, so each gets a closer look:

  • Documents with AI suggestions. While AI is on, each new document is read as it arrives, so batches suit documents AI didn't read.
  • Requirements that check minimum insurance limits.
  • Requirements that list terms to confirm.
  • A company name or site that doesn’t match.
  • Requirements with open blocking findings.
  • Archived suppliers and ended requirements.
  • Files for a questionnaire the supplier hasn’t finished, which aren’t offered at all.

Leave an item for individual review yourself when a value needs a correction or is unresolved, or when a certificate lists policies that end on different dates. In a batch you can only confirm the displayed values as they are.

What if something changes during the batch?

Each decision applies to the exact document, requirement and site you checked. If one changed in the meantime, it fails with a reason and the others still complete. If the connection drops, choose Retry safely: it recovers the exact results without recording anything twice.

Important: As in individual review, if you uploaded a file yourself or corrected its details, the batch warns you. Accepting it records that the same person supplied and accepted it.

Common questions

Is Confirm for batch the same as accepting?
No. It records your intent only. Nothing is accepted until you choose the accept button on the preview step.
Can I request changes in a batch?
No. Leave the item for individual review and request changes there.
Can I select more than 20?
No. A batch holds up to 20 documents from the current queue page. Start another batch for the rest.
