Save, review and send request drafts

For buyersWho can do this: Owner, Admin or ManagerUpdated

In short

A draft is a request you saved without sending. Choose Save as draft in a request's review step, or prepare drafts for many suppliers with Bulk actions. Drafts are listed on each supplier's Requests tab under Unsent drafts. Open one and choose Review sending to check the recipient, requirements, sending window and message, then Send request. Choose Cancel draft to drop it; the cancelled draft stays in history.

A draft keeps the recipient, the message and the exact requirement versions and sites you chose, so what is eventually sent matches what you checked.

How do I save a draft?

In Review and send, choose Save as draft. When something stops a send, such as supplier email being off, the review step offers only Save as draft and says why. Vendarity opens the draft's page.

How do I prepare drafts for several suppliers?

  1. Select the suppliers

On Suppliers, tick the suppliers and choose Bulk actions.

  2. Choose Prepare request drafts

Set Action to Prepare request drafts and edit Message to suppliers, in plain text with no web or email addresses.

  3. Preview and confirm

Choose Preview action. Each draft goes to the supplier's primary contact and includes all its current and future requirements. Tick the confirmation and choose Confirm request drafts.

Nothing is emailed by this action. Each draft is sent later from its own supplier.

How do I find and send a draft?

  1. Find the draft

Open the supplier, choose the Requests tab, set the filter to Unsent drafts and choose Apply. Open the draft.

  2. Check it

The Request draft page shows the recorded recipient, the Message to the supplier and Requirements in this request, with the versions and sites recorded when it was prepared.

  3. Review sending

Choose Review sending. The Review and send dialog shows the recipient, the number of requirements, the next sending window and the message.

  4. Send

Choose Send request, or Keep draft to leave it unsent.

If Review sending is missing, the notice at the top of the draft says why, for example that reminders are paused for this supplier or that supplier email is off.

What if the request changed since I saved it?

If the recipient or a requirement in the draft has changed, sending is refused with “The recipient or requirements changed after this draft was saved. Prepare a new draft before sending.” Cancel the old draft and prepare a new request.

How do I cancel a draft or a queued request?

On the request's page, choose Cancel draft, or Cancel queued request for a request waiting to send, and confirm. The unsent request stays in the supplier's history with its recipient and requirements. A send that has already started cannot be cancelled.

Drafts are also cancelled when you archive the supplier or remove the draft's recipient.

Common questions

Do drafts expire?
No. A draft stays until you send or cancel it. Archiving or merging the supplier, or removing the draft's recipient, also cancels it.
Can I edit a saved draft?
No. A draft keeps exactly what you reviewed. To change it, cancel it and prepare a new request.
My request says it was not sent. What happened?
The draft was saved but the send stopped. The draft page says why. Resolve the reason, then choose Review sending to try again.
