Export your data or close your workspace
In short
To take a full copy of your records, an Owner or Admin opens Settings, Data & closure and chooses Export all data: every record as CSV files with a guide to every column, plus every stored original file. Downloads last 7 days. Only the Owner can close the workspace: it becomes read-only at once and is permanently deleted after 30 days unless the Owner cancels first.
Your records are yours to take with you. A full export works at any time, including while the workspace is read-only, and you can close the workspace when you no longer need it.
How do I export everything?
Open Data & closure
Choose Settings, then Data & closure.
Start the export
Choose Export all data. If your last sign-in was not recent, you are asked to sign in again first.
Wait for it to finish
The export runs in the background and shows Queued, Exporting, then Complete. You can leave the page meanwhile.
Download the parts
Download Records, schema & file list first, then each part of original files. Each part shows its SHA-256 checksum, a fingerprint that shows the file hasn't changed.
The export holds suppliers, contacts, requirements, assigned requirements, document details, review decisions, exceptions, approvals, findings, requests and the activity history, as CSV files with a guide that explains every column, plus every stored original file. The supplier file re-imports into any Vendarity workspace. Passwords, sign-in codes and private links are never included.
Downloads expire after 7 days; start a new export after that.
How do I close the workspace?
Export first
Choose Export all data first to keep a copy.
Start closing
In the Close workspace section, choose the Close workspace button. A window lists what happens next.
Confirm
Type the workspace name to confirm, give a reason of at least 8 characters and choose Close workspace. Closing needs a sign-in within the last five minutes, so sign in again first if needed.
What happens when you close:
- The workspace becomes read-only immediately. Supplier requests, reminders and uploads stop.
- Existing read and export permissions stay in place until deletion begins.
- After 30 days, deletion removes originals, previews, extracted text, access grants and workspace records.
- Deleted data can remain in recovery copies for up to 35 more days.
If the workspace has an active paid subscription, cancel it in Plans & usage first; the workspace stays available until the paid period ends.
Can I change my mind?
Yes, until permanent deletion begins: the Owner chooses Cancel closure. Once deletion has started, it can’t be cancelled. A hold for legal reasons pauses deletion without changing who can access the workspace.
Common questions
- Can an Admin close the workspace?
- No. Only the Owner can close it. Admins can export all data.
- Can we still export after closing?
- Yes. Read and export permissions stay in place until deletion begins, 30 days after closing.
- Is a full export the same as an evidence pack?
- No. An evidence pack is a fixed report at one moment, for the suppliers and requirements you chose. A full export holds every record and stored original in the workspace.
