Work through the documents waiting for review
In short
Open Review in the sidebar to see every document waiting for a decision, critical and overdue requirements first, then by response due date. Filter by urgency, owner or requirement, open a document to review it and, when colleagues can review too, claim it for 15 minutes so they know you are on it. Owners, Admins and Reviewers record decisions; other roles can look.
The review queue is where documents become decisions. Each row is one document for one requirement: a file a supplier sent, a document your team uploaded, or a supplier's completed questionnaire answers. A file joins the queue once its file checks finish.
What do the labels on a row mean?
- Critical and overdue: a critical requirement past its response due date.
- Critical requirement: critical, but not yet overdue.
- Claimed by you, or In review with a colleague’s name: someone is working on it now.
- Current document still counts: a replacement. The earlier accepted document keeps the requirement current while this one waits.
- Answers to follow: a file for a questionnaire the supplier hasn’t finished. You can request changes on it, but it is accepted together with the answers.
The badge at the top of the page shows how many documents are waiting for review.
How is the queue ordered?
Critical and overdue requirements come first, then other critical requirements, then everything else. Within each group, the earliest response due date comes first, then the earliest received.
How do I find a document?
Search or filter
Type a supplier, requirement or file name in the search box. Choose All urgency, Critical and overdue or All critical, and pick an owner or a requirement.
Apply the filters
Choose Apply filters. The list and its count update.
Open a document
Select a row. The review page opens with the document and its details. See Review a document.
Move through the queue
Use Next document and Previous document. They keep your filters, and End of this queue shows when you reach the last one. After you record a decision, Next document and Back to the queue also appear with the result.
How do claims work?
On a document, choose Claim review to show colleagues you are working on it. The claim lasts 15 minutes; choose Release review when you stop. Claims appear only when more than one member of the workspace can review: Owners, Admins and Reviewers.
A claim is a signal, not a lock. Colleagues can still open the document. If two people decide at the same time, only one decision is recorded and the other person is asked to reload the latest version.
Who can review?
Owners, Admins and Reviewers can claim documents and record decisions. Managers and Viewers can open the queue and each document, but the decision controls are replaced by “Your role can view documents but can’t make review decisions.” Viewers see previews but can’t download original files.
Tip: To accept several straightforward documents in one pass, choose Review a batch. See Accept up to 20 documents together.
Common questions
- Why isn’t a new document in the queue yet?
- Files appear once their file checks finish. Documents for archived suppliers and ended requirements stay in the supplier’s history instead of the queue. Where replying by email is set up, files a supplier emailed wait under Email replies at the top of Review until someone chooses their requirement.
- Does claiming stop someone else from deciding?
- No. A claim tells colleagues you are reviewing it for 15 minutes; they can still open it. If two decisions collide, the second person is asked to reload the latest version.
