Find a supplier, document or certificate number

For buyersWho can do this: Every roleUpdated

In short

Press Ctrl K (⌘ K on a Mac), or choose Search suppliers and documents at the top of any page, and type. You find suppliers by any name, External ID, business identifier or contact, documents by their name, issuer, company name or certificate or policy number, requirements by name, and pages. Every role can search.

Search looks through your whole workspace: suppliers, their documents and your requirements. It never shows another workspace's records.

  1. Open search

Press Ctrl K (⌘ K on a Mac), or choose Search suppliers and documents in the bar at the top of the page.

  2. Type what you know

A name, a number, a contact's email or part of any of them. Pages match from the first letter, suppliers from two characters, documents from three.

  3. Open a result

Use the arrow keys and Enter, or select a result. Choose See all results for the full list on its own page.

What does search look at?

  • Suppliers: legal name, trading name, External ID, business identifier (such as an ABN) and the name or email of a current contact. A supplier merged into another is found by its old details and opens the supplier that kept them.
  • Documents: the document's name, its issuer, the company name on it and its certificate or policy number, both as the supplier sent them and as a reviewer recorded them. The name of the person who signed a declaration isn't searched. Files that failed their file checks and files your retention period removed are left out.
  • Requirements: the name of their current version.

Numbers match however they are written: POL-123 456, pol123456 and 123-456 all find the same certificate. A result says what matched when it wasn't the name, for example “Certificate or policy number as sent: POL-111” when a reviewer later recorded a different number.

In what order are results shown?

Active suppliers come before archived ones, and names that start with what you typed come first. Documents are listed newest first. The menu shows a few of each; the full page shows up to 25 of each and says when there are more, so you can add more of the name or number.

Common questions

Why doesn't a document I uploaded show up?
A document joins search once its file checks finish. Files that failed them are not searchable, and neither are files removed at the end of your retention period. Type at least three characters.
Can a Viewer search?
Yes. Every role can search everything it can already see in the workspace, and every role can see all suppliers and documents.
