Invite team members and manage their roles

For buyersWho can do this: Owner or Admin; ownership transfer by the OwnerUpdated

In short

To add a colleague, an Owner or Admin opens Settings, Team & access, chooses Invite member, enters their work email and a role, and chooses Send invitation. Vendarity emails them a link that works for 7 days, with the invited address only; its page names your workspace and the role before they accept. On the same page you can send an invitation again, change roles, remove team members and, as the Owner, transfer ownership.

To manage the team you need a verified email address and an authenticator app on your own account. Every change is recorded in the workspace history.

How do I invite someone?

  1. Open Team & access

Choose Settings, then Team & access.

  2. Start an invitation

Choose Invite member. The Invite a teammate window opens.

  3. Enter their details

Type their Work email and choose a Role. The text under the role says what it can do; see Roles and what each one can do.

  4. Send the invitation

Choose Send invitation. Vendarity emails the link to that address, with your name, the workspace name and the role, then choose Done. The link isn't shown to you, so only the person invited can use it. If the email can't be sent, the window says so and offers Copy invitation link instead.

How does the person join?

  1. Create an account with the invited address

They open the link from the email and create a Vendarity account with the invited email address. Because the link reached them by email, there is no second email to confirm the address: the invitation opens straight away. If you had to copy the link and send it yourself, they confirm their address from an email first. Anyone who already has an account chooses Sign in instead.

  2. Check the workspace and role

The page names your workspace and the role they are invited as, such as “Join Harbour Group.” and “You’re invited to join as a Reviewer.” (example, fictional data).

  3. Accept

They choose Accept invitation and the workspace opens on Home, which says the workspace and role they joined.

  • Someone invited as an Admin needs an authenticator app first. The page says so and offers Set up an authenticator app; after setting it up, they come back to the invitation and accept.
  • If the account they signed in with can't use the invitation, because it was sent to another address or has expired or been used, the page says so instead of offering Accept invitation. They can choose Use another account, or ask you to send the invitation again.
  • If your workspace requires an authenticator for every member, anyone else without one is asked to set it up when they first open the workspace.

How do I see who has an authenticator?

In Team & access, Owners and Admins see two more columns for each team member: Authenticator, which reads Authenticator set up or No authenticator, and Last sign-in, when they last signed in to open this workspace, in the workspace's timezone. No sign-in recorded means Vendarity has no record of them opening the workspace. Session details such as devices and IP addresses stay private to each person. See Roles and what each one can do to require an authenticator for every member.

What limits apply?

  • Invitations expire after 7 days and work only with the invited address.
  • Team members and pending invitations together can’t exceed your plan’s limit. Pending invitations lists the open ones; choose Revoke invitation to free a place.
  • A workspace can create up to 20 invitations an hour, counting each one sent again.
  • An email address can have only one pending invitation or active membership at a time.

How do I change a role or remove someone?

Next to a team member, choose Edit role, pick the new Role and choose Save role.

To remove someone, choose Remove. Their access ends immediately. If they own suppliers, open requirements or tasks, choose a Replacement owner for that work, then choose Remove member.

While a workspace is read-only, you can’t invite people or change roles, but you can still remove team members, revoke invitations and transfer ownership.

How do I transfer ownership?

Only the Owner can do this, and the Owner can’t be edited or removed until ownership moves. Next to the new owner, choose Make owner, type the workspace name to confirm and choose Transfer ownership.

The new owner needs a verified email and an authenticator app. You become an Admin. If your last sign-in was more than five minutes ago, you are asked to sign in again first.

Common questions

My colleague can’t find the invitation email. What now?
Ask them to check their spam or junk folder for an email from Vendarity. If it isn’t there, choose Send again next to their address under Pending invitations: Vendarity emails a new link and the earlier one stops working.
What if the email couldn’t be sent?
The window says so and shows the link. Choose Copy invitation link and send it to your colleague yourself.
What happens to a removed team member’s work?
You choose an active replacement owner for their suppliers, open requirements and tasks, and the work moves to that person.
