Report that a document you sent has changed

For suppliersUpdated

In short

If a document the business accepted is no longer accurate, for example a policy was cancelled or a certificate was withdrawn, choose Report a document change on the item. Choose the document, or let the business work out which one it is, describe what changed and choose Send report. The business reviews the change and decides what it means.

The business that sent the request relies on the documents it accepted until they expire. If something changes before then, telling them promptly keeps their records accurate. The option appears only on an item where the business has accepted a document.

How do I report a change?

  1. Find the item

On your requests page, find the card and look under Other options.

  2. Open the report window

Choose Report a document change. The Report a document change window opens.

  3. Choose the document

In Which document?, pick the document. If you can’t see it in the list, keep the first option, “I'm not sure”, and the business works out which one it is.

  4. Describe the change

In What changed?, explain in at least 8 characters. If you know when the document stopped applying, add Date it stopped applying · optional; the date counts from the start of that day in the business’s timezone.

  5. Send it

Choose Send report. The page confirms that your report was sent and that the business will review the change.

What happens next?

The business gets a task to review your report on this item and decide what the change means. If you weren’t sure which document it was, they work that out first.

Your report is your statement. It doesn’t change the dates printed on the document, and Vendarity doesn’t check it with the insurer or issuer. Vendarity doesn’t email you the business’s decision; open the link you were sent again to see the item’s status.

Note: A report reaches only the business that sent this request. It doesn’t reach other businesses you work with through Vendarity, so tell each of them separately.

Should I also send a new document?

Yes, if you have a replacement. A change report and a new upload are separate. Send the new document with Upload document on the same card; see Upload and send a requested document.

If you can’t replace the document, you can also reply without a new file, for example to say you are not renewing.

Common questions

Does reporting a change cancel my accepted document?
No. The business reviews the report and decides what it means for the item. The original document and its decision stay in the history.
Who sees my report?
The business that sent the request, on this item only.
What if I don’t know which document is affected?
Keep the “I'm not sure” option. The business works out which document your report is about.
