Send text reminders (SMS) to suppliers
In short
Text reminders are short SMS messages that go with an automatic email reminder, when a requirement is overdue or unanswered and your team has been alerted. An Owner or Admin turns them on in Settings, then Automation, under SMS reminders, and only contacts who agreed to texts receive them. Each country is switched on separately. SMS reminders can accompany email reminders to mobile numbers in Australia, once an Owner or Admin turns SMS on; New Zealand, the United Kingdom, the United States and Canada follow once each route is approved.
Email stays the main channel. A text is a one-way nudge that goes with an automatic email reminder when the work is already late, so a supplier contact who missed the email still hears about it.
When does a supplier get a text?
Every one of these must be true:
- SMS reminders are turned on for your workspace, and automatic email reminders are on.
- Your team has been alerted about the requirement, because it is overdue or the supplier hasn't replied.
- An automatic email reminder about it was accepted for delivery.
- The contact agreed to texts, and their mobile number's country has an available route.
- It is a weekday, between 9 am and 5 pm in the contact's timezone, and the contact has not had a text that day.
Texts carry no document names or dates. Each one names your business and has one short link, which opens the request (the contact still confirms the code sent to their email, unless they asked Vendarity to remember that browser) or stops text reminders.
Which countries can receive texts?
The route is chosen from each contact's mobile number, never from your company's country. Destination routes under SMS reminders lists Australia, New Zealand, the United Kingdom, the United States and Canada, and shows Available beside each route that is switched on. Contacts whose numbers have no available route get email only.
How do I turn text reminders on?
Open SMS reminders
Choose Settings, then Automation, and find SMS reminders. A notice there explains anything that stops texts, such as no available route or a read-only workspace.
Review the terms
Choose Review SMS terms. Read the sender, consent and opt-out rules, an example of what is sent, and the cost and limits.
Confirm and enable
Tick the box confirming you are authorized and have reviewed the terms, then choose Enable SMS reminders.
To stop, choose Turn off SMS reminders. Email reminders continue as before.
How do contacts agree to texts?
A contact turns on text reminders for themselves on their request page. A contact with a US or Canadian number must opt in to Vendarity's texts themselves, on their request page or from the link in their request email. Each contact card shows their status under Routine SMS.
A contact can stop texts with the link in any text, or by replying STOP where the text says so. That stops Vendarity texts to their number in every workspace, not only yours, and no business can turn them back on. The opt-out takes effect before the next send and opens a task for your team. The requirement stays open: the supplier still needs to send the document.
How many texts can we send?
Texts are counted in segments. A segment holds 160 plain characters, or 70 when a message has emoji or other special characters. The trial includes up to 20 segments in total, at most 10 a day, and does not reset. Core and Growth include up to 50 segments per billing period, at most 10 a day. When the allowance is used, texts pause and reminders continue by email. There is no overage, top-up or extra charge.
Common questions
- Can suppliers reply to a text?
- No. Texts are one-way. A contact can follow the link to open the request or stop text reminders, or reply STOP where the text says so.
- Can my team record SMS permission for a contact?
- No. The contact turns on text reminders themselves on their request page, and a US or Canadian number needs the contact's own opt-in.
- Do texts go to every overdue supplier?
- No. A text goes only with an automatic email reminder, after your team has been alerted, to a contact who agreed to texts, in a country that is switched on.
