Set minimum insurance limits a certificate must show
In short
To check that a certificate of insurance (COI) shows the limits your contract requires, add them to the requirement: choose Add minimum insurance limits and enter up to eight, each with a cover and basis, a whole amount and a currency. Suppliers see the limits before they upload. At review, the reviewer records the limit each certificate shows, and Vendarity compares the two in the same currency only. A limit below the minimum can't be accepted.
Minimum limits turn the amounts in your contract into a check at review. For example (fictional): public liability of at least AUD 10,000,000 each occurrence. Vendarity checks what the certificate shows, as at its date of issue. It doesn't check what the policy covers, and it doesn't convert currencies.
How do I add minimum limits?
Open the requirement
Choose Requirements in the sidebar, then New requirement, or New version on an existing insurance requirement. Keep Suppliers respond with on A document; a questionnaire has no minimum limits.
Add the first limit
Choose Add minimum insurance limits. For the first limit, enter the Cover and basis, such as Public liability · each occurrence.
Enter the amount and currency
Type the Minimum amount as a whole number; commas are fine, as in 10,000,000. Choose the Currency: AUD, CAD, EUR, GBP, NZD or USD. It starts with your workspace's currency.
Add any others
Choose Add a minimum limit for each further cover, up to eight. Give each one a different name, and include the basis, such as each occurrence or in the aggregate, because the reviewer matches the printed limit to it.
Publish
Choose Publish requirement, or Publish version when you revise one. The limits are saved with that version, so changing them later means publishing a new version.
What does the supplier see?
The supplier's request page lists each minimum limit, so the supplier or their insurance broker knows what the certificate must show. When you prepare a request, its review step shows the limits the supplier is shown. On the supplier's Requirements tab, your team sees them under Minimum insurance limits checked at review.
How are the limits checked at review?
When you accept the certificate, Minimum insurance limits asks for the limit it shows for each minimum: the amount and currency, entered by hand, or Not shown on the document. If AI suggestions read limits from the document, the reviewer can pick one under Printed limit instead. Vendarity then compares:
| Result | What happens |
|---|---|
| Meets the minimum | Same currency and at least the minimum. Acceptance can continue. |
| Below the minimum | Same currency and lower. The document can't be accepted: request changes, or record an exception for the requirement. |
| Different currency, not compared | The currency on the certificate differs and is never converted. The reviewer must explain why the document still meets the requirement. |
| Not shown on the document | The certificate doesn't show this limit. The reviewer must explain why the document still meets the requirement. |
An explanation goes in Why this document still meets the requirement and needs at least 8 characters. Every check and reason stays in the decision's history and exports, and the supplier never sees them.
Note: A document whose requirement checks minimum limits is reviewed on its own. Batch review leaves it for individual review.
Common questions
- Does Vendarity convert currencies?
- No. Limits are compared only when the currency on the certificate matches the minimum's currency. Otherwise the reviewer records why the document still meets the requirement.
- Does a limit that meets the minimum mean the supplier is properly insured?
- No. The check covers what the certificate shows as at its date of issue. It doesn't confirm what the policy covers or that the policy is still in force.
- Can I add limits to a questionnaire?
- No. Minimum limits apply to requirements where suppliers send a document.
