Review documents a supplier shares from its library
In short
A supplier with a Vendarity library can share a version of a document with you instead of uploading it again. It appears on the supplier's Documents tab under Shared from the supplier's library, and nothing counts until you review it. A reviewer chooses the requirement and Add to records for review, then reviews your copy like any other submission, or dismisses it with a reason.
A supplier library belongs to the supplier's company. Vendarity approves one only after checking the company in its public business register and confirming that the person who set it up may act for it. The supplier connects your relationship from your request page and then chooses which versions you receive. You see only what it shares with you.
Where do shared documents appear?
On the supplier's page, open Documents: they are listed under Shared from the supplier's library, with how many are waiting. Other tabs show how many need review, with Review shared documents. Each shows the document's title, version and details as the supplier recorded them. A shared document is not evidence: it changes no requirement, status or coverage until a reviewer adds it and accepts it.
How do I review a shared document?
Choose the requirement
Under Shared from the supplier's library, pick the requirement it answers in the list beside the document.
Add it to your records
Choose Add to records for review. Vendarity copies the file into your workspace, where it follows your own retention, and it waits for review.
Review your copy
Choose Open your copy in review and review it as any submission: check each detail, then accept it or ask for changes. See Review a supplier's submission.
If the document isn't relevant, choose Dismiss shared document and give a reason. Nothing is added to your records, and the reason stays in the supplier's history.
What happens when the supplier renews it or stops sharing?
- When the supplier shares a new version, it appears as a new shared document. An earlier version still waiting is replaced, and the version you already accepted stays current for its own dates until you accept the new one.
- When sharing stops, or the supplier deletes the document, a version still waiting is withdrawn. Copies you already added stay in your records under your retention; the supplier can't remove them.
- When Vendarity suspends the library, nothing new can be added until it is reinstated. Your copies are unaffected.
Decisions never pass between buyers. Another buyer's review of the same version doesn't count for you, and yours doesn't count for them.
Common questions
- Can a supplier change a document after I add it?
- No. Your copy is fixed when you add it. A change arrives as a new version for you to review, and your earlier copy and its decision stay as they were.
- Why can't I add a shared document?
- Adding needs an Owner, Admin or Reviewer and a workspace that isn't read-only. It also waits while the supplier is archived (reactivate it first) or while private sharing is paused.
